Acceptance of terms
By signing up for RemoteFrontDesk services or accessing this website, you agree to be bound by these Terms of Service ("Terms"). If you are agreeing on behalf of a medical practice or other entity, you represent that you have authority to bind that entity to these Terms.
If you do not agree to these Terms, do not use our service.
Description of service
RemoteFrontDesk provides virtual front desk staff ("Front Desk Pros") to medical practices and medspas on a subscription basis. Services include, depending on your selected plan:
- Patient scheduling and appointment management
- Insurance verification and benefits checks
- Medical billing support, including claim submission and follow-up
- Prior authorization submission and tracking
- Inbound call coverage and patient messaging
- Other front-office administrative workflows as agreed
RemoteFrontDesk is not a healthcare provider, does not provide medical advice, and does not make clinical decisions on behalf of any practice or patient.
Subscription and payment
Subscriptions are billed monthly in advance. Plan pricing is published at remotefrontdesk.com/#pricing and may be modified with 30 days' notice to existing subscribers.
- Payment is due on the first day of each billing cycle.
- Accepted payment methods: credit card, ACH, and wire transfer.
- Past-due accounts may have service suspended after 10 days; access may be revoked after 30 days.
- No refunds are issued for partial months. If you cancel mid-month, service continues through your paid period.
Cancellation
You may cancel your subscription at any time. Cancellation takes effect at the end of your current billing cycle.
- To cancel, contact your account lead or email hello@remotefrontdesk.com at least 7 days before your next billing date.
- Upon cancellation, your assigned Front Desk Pro's access to your systems is revoked within 24 hours.
- We can offboard cleanly with documentation of in-progress work, claim status, and outstanding tasks. Allow 5 business days for full offboarding.
- We do not charge cancellation fees or impose minimum commitments.
Acceptable use
You agree not to use RemoteFrontDesk services to:
- Engage in any illegal activity, including but not limited to insurance fraud, billing fraud, or HIPAA violations
- Direct our staff to misrepresent themselves to patients, insurers, or government agencies
- Process information for entities that are not legitimate medical practices or medspas
- Provide false or misleading information during onboarding
- Harass, threaten, or discriminate against any RemoteFrontDesk staffer
We reserve the right to terminate accounts that violate these terms, with no refund of pre-paid fees.
Confidentiality and PHI
All Protected Health Information (PHI) handled by RemoteFrontDesk on your behalf is governed by our Business Associate Agreement (BAA), which is signed separately and incorporated by reference into these Terms.

Limitation of liability
To the maximum extent permitted by law, RemoteFrontDesk's total aggregate liability for any claim arising out of or related to these Terms or the service shall not exceed the fees you paid to RemoteFrontDesk in the 12 months preceding the claim.
RemoteFrontDesk shall not be liable for:
- Indirect, consequential, incidental, or punitive damages, including lost profits
- Claims arising from your or your staff's negligent supervision of our Front Desk Pros
- Errors in your underlying systems (EHR misconfigurations, payer portal outages, etc.)
- Decisions you make based on information our staff provides — clinical or otherwise
This limitation does not apply to: (a) breach of our BAA obligations, (b) gross negligence or willful misconduct, or (c) any liability that cannot legally be limited.
Indemnification
You agree to indemnify and hold harmless RemoteFrontDesk from any claim, demand, or expense (including reasonable legal fees) arising out of:
- Your use of the service in violation of these Terms or applicable law
- Information you provide that is inaccurate, misleading, or fraudulent
- Patient claims arising from clinical or business decisions made by your practice
Modifications to service and terms
We may modify these Terms from time to time. Material changes will be communicated to active subscribers at least 30 days before they take effect, via email to your designated contact.
Continued use of the service after the effective date constitutes acceptance of the modified Terms.
Termination by RemoteFrontDesk
We may terminate or suspend your access to the service:
- Immediately, for material breach of these Terms, your BAA, or applicable law
- With 30 days' notice, at our convenience, with prorated refund of any pre-paid fees
- Immediately, if continued service would expose RemoteFrontDesk to legal or regulatory risk
Governing law and disputes
These Terms are governed by the laws of the State of Texas, without regard to conflict-of-laws principles.
Any dispute arising from these Terms or the service shall be resolved through:
- Good-faith negotiation between the parties for 30 days, then
- Binding arbitration administered by the American Arbitration Association (AAA) under its commercial rules, then
- Exclusive jurisdiction of the state and federal courts located in Travis County, Texas for any matters not subject to arbitration.
