Every Front Desk Pro completes HIPAA training before placement and signs a confidentiality agreement. We execute a Business Associate Agreement with your practice, log all PHI access, and require encrypted devices with our security configuration. Audit logs are available on request. Can I really cancel anytime?+
Yes. Subscriptions are month-to-month. Cancel before your next renewal and you're done — no fees, no clawbacks. We ask for 7 days' notice so we can offboard cleanly and revoke system access.
What if my Front Desk Pro isn't a fit?+
Tell us within the first 30 days and we re-match you at no charge, typically within 5 business days. After 30 days, replacement is still free — we just ask for two weeks to find the right person.
Where are your staff based?+
Our Front Desk Pros are based in the Philippines, South America, and Southeast Asia, matched to your practice by specialty, EHR, payer mix, and language preferences. All staff work US business hours regardless of location.
Do I have to provide equipment or software?+
No. Staff bring their own encrypted equipment that meets our security baseline. You grant access to your EHR and tools under standard role-based permissions, the same way you would for any new hire.
